At a glance

RentOurProjectors.com rents business projectors and screens for board meetings, sales presentations, client pitches, and offsite meetings, by the day, week, or month. For most meeting rooms, a 3,000 to 5,000 lumen projector, a tripod or fast-fold screen, and the right laptop connections are all you need.

Clear slides without the conference room guesswork

Most business meetings do not need a large production. They need a projector bright enough for the room, a screen sized for the table, and a connection that works with the presenter's laptop the first time. When a meeting is offsite, in a hotel meeting room, or in an office without a permanent setup, renting gives your team that capability without buying equipment that sits in a storage closet.

Small boardrooms with dimmable lights are well served by a 3,000 to 4,000 lumen projector. A room of 30 to 60 people, or a room with windows that cannot be fully covered, benefits from 5,000 lumens or more. For spreadsheets and dense slides, a WUXGA or 1080p projector keeps small text sharp.

We can also add a presenter remote, an HDMI switcher for multiple laptops, a speakerphone or small powered speaker, and a laptop from our sister site RentOurLaptops.com when presenters are traveling light.

Planning guide

Getting a meeting room presentation right

Look at the room before you choose a projector. Windows, overhead lighting that cannot be dimmed, and white walls all wash out an image, so a brighter projector is worth it in those rooms. Place the screen at the short end of the table, away from the brightest window, and keep the bottom of the image above head height for people seated at the far end.

Decide how presenters will connect. If several people will present, an HDMI switcher or a wireless presentation option saves time between speakers. Run the power and video cables along the wall or tape them down so no one trips during the meeting.

When you request a quote, tell us the number of attendees, the room size or a photo, whether the lights dim, what laptops presenters will use, and the delivery and pickup times. For a hotel meeting room, include the hotel's receiving contact, and send your purchase order or tax-exempt certificate if your organization uses one.

Availability and exact models vary. Your quote confirms the equipment, accessories, and delivery plan for your dates. Want to go deeper first? Read our projector planning guides or the projector rental FAQ.

Frequently asked questions

Can I rent a projector for a single board meeting?

Yes. One-day rentals are common for board meetings and client presentations. Your quote reflects the delivery and pickup dates you need.

Will the projector connect to a MacBook or a USB-C laptop?

Rentals can include HDMI cables plus common adapters such as USB-C to HDMI. Tell us which laptops will be used so the right adapters are included.

Is a projector or a large TV better for a small conference room?

For small groups close to the screen, either can work. A projector gives a larger image from a compact unit and is easier to transport to an offsite. Our projector vs TV vs LED wall guide covers the tradeoffs.

Can you deliver to the hotel where our sales meeting is being held?

Yes, delivery to hotels is common. We coordinate with the hotel's receiving schedule, and a technician can set up in the meeting room in many areas.
