We deliver to campuses nationwide, accept tax-exemption certificates, and rent by the day, week, or month for a semester-long need.

Stage with a lectern centered between three screens

Extra capacity for the busy points of the academic year

Campus AV is built for the normal school day. Orientation week, commencement, accreditation visits, conferences hosted on campus, and building renovations all create needs that the installed equipment cannot cover, whether that is a gym turned into an overflow room or a modular classroom with no projector at all.

Renting covers those peaks without adding equipment that has to be maintained, inventoried, and stored. A department or facilities team can rent a single projector for a guest lecture or dozens of matching setups for a semester in swing space.

When a lecture hall projector fails mid-term, a rental can also bridge the gap until the permanent unit is repaired or replaced.

Why it works

Why schools and campuses rent projectors

Semester-length rentals

Equip swing space and modular classrooms by the month while buildings are renovated.

Tax-exempt and PO-friendly

Send your exemption certificate, and purchase orders are accepted in many cases. A W-9 and certificates of insurance are available for vendor setup.

Short throw where space is tight

Short throw projectors keep the instructor out of the beam and fit small temporary rooms.

Big-day support

Overflow rooms, orientation sessions, and campus events can be staffed with an on-site technician.

Planning guide

Planning projection for a school or campus

For commencement overflow, the projector and screen are only half the plan. The overflow room needs a video signal from the main ceremony, usually from the production team's camera switcher or a stream feed, plus audio so guests hear the names being read. Tell us who is producing the main ceremony and how far the overflow room is from it, so the signal path and sound can be planned with them.

For temporary classrooms, think about how each room will be used daily. Short throw projectors reduce shadows and glare for instructors who move around, and a projector cart or wall-mounted screen keeps the setup from being bumped by students. Include the number of rooms, the move-in date, and the expected end of the renovation so the rental can be extended if construction runs long.

Gyms and field houses are the hardest rooms to project in because of high windows and bright overhead lighting. If the event must happen during the day, ask whether the facilities team can turn off sections of lighting near the screen, and plan for a high-brightness projector and the largest screen the sightlines allow.

Availability and exact models vary. Your quote confirms the equipment, accessories, and delivery plan for your dates. Want to go deeper first? Read our projector planning guides or the projector rental FAQ.

Frequently asked questions

How do you project the commencement ceremony into an overflow gym?

The overflow room receives a live video and audio feed from the main ceremony, usually from the production team's cameras, and a bright projector displays it on a large screen. We coordinate with whoever is producing the ceremony so the feed, cabling, and sound are planned before the day.

Can we rent projectors for modular classrooms during a building renovation?

Yes. Short throw projectors, screens, and carts can be rented by the month for each temporary classroom and extended if the renovation schedule changes. Share the number of rooms and the expected timeline.

What do we need to project instructions and timers in a testing room?

A standard business projector of about 3,000 to 4,000 lumens and a tripod screen is usually enough for instructions, a countdown timer, and seating assignments. Make sure the screen is visible from every seat and that the projector does not create glare on desks.

Can a university department rent a projector for one guest lecture?

Yes. A department can rent a projector, screen, and microphone for a single lecture or event. Include the room, the expected audience, and whether the speaker will use a Mac or a USB-C laptop so the right adapter is included.
