At a glance

RentOurProjectors.com can deliver your projector rental, set it up, and pick it up afterward in many areas, or ship it to you with a prepaid return label anywhere in the United States. The method depends on your location, dates, and order size, and your quote confirms exactly how the equipment arrives and goes back.

Two ways to get your equipment

In many metro areas, a technician brings the projector, screen, and accessories to your venue, positions everything, connects your source, and confirms the image before your guests arrive. When the event is over, the technician returns at a convenient time to tear down and collect the equipment.

Outside local delivery areas, or for simple setups, equipment ships to you in protective cases with a prepaid return label. When you are finished, you pack it back up and drop it off at a local carrier location. Shipped kits are prepared so a non-technical person can unpack, plug in, and project.

Either way, we plan the logistics with you: where it goes, when the room is available, who will be there to receive it, and when it can leave. Those details matter more than most people expect, especially at hotels and convention centers.

Why it works

What delivery and setup includes

Venue coordination

Delivery timed to receiving docks, freight elevators, and load-in windows at your venue.

Placement and focus

Projector positioned for your screen size, keystone and focus adjusted, cables taped down.

Testing before showtime

Your laptop or media player connected and checked so the first slide is not the first test.

Teardown and pickup

Equipment packed and removed after the event, scheduled around your venue's move-out time.

Planning guide

How venue deliveries usually go

Hotels and conference centers often accept deliveries only at a receiving dock during set hours, and some require a reference to your event or group name on the shipment. We ask for this up front so equipment is not held at the dock while you wait in the ballroom.

For hand-delivered orders, we try to set up early enough to leave time for a full test with your actual content and devices. Bring the laptop and any adapters you plan to present with so the technician can confirm the connection, resolution, and audio path.

For shipped orders, plan to receive the package a day or more ahead of your event when possible. Keep the cases and the return label, since the equipment goes back in the same packaging.

Availability and exact models vary. Your quote confirms the equipment, accessories, and delivery plan for your dates. Want to go deeper first? Read our projector planning guides or the projector rental FAQ.

Frequently asked questions

Can a technician set up the projector before my event starts?

Yes, in many areas a technician can arrive ahead of your start time to place the projector and screen, connect your source, and test the image. Share your load-in window and the earliest time the room is open so arrival can be scheduled.

How do I send back a projector that was shipped to me?

Pack the equipment in the cases it arrived in, attach the prepaid return label, and drop it off at a local location for that carrier. Your quote and paperwork list the return date.

Can you deliver to a hotel or convention center receiving dock?

Yes. Tell us the venue's receiving hours, any required event or group name, and your on-site contact, and we will plan the delivery around those rules.

When is hand-delivered equipment picked up?

A technician returns at a time that works for you and the venue, often right after the event or the next morning. The pickup time is set during planning and confirmed in your quote.

Does someone need to be on site for delivery?

Yes, someone should be there to meet the technician or sign for a shipment. Give us a name and cell number for the person who will receive the equipment.
