Projector rental FAQ
Projector Rental Questions, Answered
Everything you need to know about renting a projector, from pricing and rental periods to choosing the right brightness and screen, delivery, setup, and returns.

Pricing and rental periods
What affects the cost of a projector rental?
The main factors are the projector's brightness and resolution, the screen size, how many days you need it, any audio or accessories, and whether you want delivery, setup, or a technician. Your location and event dates also affect delivery. Request a quote and we will price the exact setup for your dates.
What is the minimum rental period?
The minimum is one day. Many organizations rent for a single meeting or event, while others keep equipment for a week, a month, or several months for training programs and longer projects.
How does a weekend rental work?
Weekend conferences and programs are common, and equipment can often be delivered or shipped before the weekend and returned after it. Share your event day and the dates your team can receive and return the equipment, and your quote will show the rental period.
Can I rent a projector by the week or month?
Yes. Weekly and monthly rentals are available for classrooms, temporary offices, conferences that run several days, and other longer needs. Tell us the start and end dates when you request a quote.
Does renting several projectors change the quote?
Quotes are built around the full order, so include every room, screen, and accessory you need in one request. That lets us plan matching equipment and delivery together.
Choosing equipment
How many lumens do I need?
It depends on audience size, screen size, and room light. As a rough guide for a dimmable room: about 3,000-4,000 lumens for up to 20 people, 4,000-6,000 for 20-75, 6,000-10,000 for 75-200, and 10,000 or more for ballrooms or bright rooms. Our projector calculator can help you estimate it for your space.
What size projection screen should I rent?
A good starting point is to divide the distance to the farthest viewer by about 6 to get a minimum image height for presentations. Also check that your ceiling height leaves room for the screen and the bottom edge is visible over heads. Our projector calculator can work out the size from your room measurements.
What comes with a projector rental?
A projector rental typically includes a power cord, a remote, and an HDMI cable. Screens, speakers, adapters, and stands can be added, and your quote lists everything that is included.
Will a projector connect to my Mac or phone?
Usually, yes, with the right adapter. Many Macs and newer laptops use USB-C, and phones and tablets need a model-specific adapter. Tell us each device that will connect so we can include matching adapters.
Can I use a rental projector outdoors?
Yes, for after-dark programs such as community screenings and outdoor corporate events. Plan on about 3,000-5,000 lumens for a 12-16 foot screen, start after sunset, and keep the projector protected from rain and dew with power from a grounded outdoor outlet.
Do I need a 4K projector?
Most presentations look sharp at 1080p or WUXGA. 4K is worth considering for very large screens, detailed images such as maps or engineering drawings, or high-quality video playback where viewers sit close.
Delivery and setup
What delivery options are available?
In many areas, a technician can deliver, set up, and later pick up the equipment. Elsewhere, we ship it to you with a prepaid return label. The method depends on your location, dates, and order size and is confirmed in your quote.
Do you deliver projectors nationwide?
Yes. We serve all 50 states and Washington, DC, through local delivery in many areas and shipping everywhere else.
How long does it take to set up a projector and screen?
A single projector with a tripod screen can often be ready in well under an hour. Larger fast-fold screens, audio, and multiple sources take longer, so plan extra time and build in a test with your own content.
Is a shipped projector hard to set up myself?
Most shipped setups are straightforward: place the projector, connect power and HDMI, turn it on, and adjust focus and image size. You can call us if anything is unclear while you are setting up.
Can I return equipment by dropping it off?
Yes, for shipped orders. Pack the equipment in its original cases, attach the prepaid return label, and drop it at a local location for that carrier by the return date.
Events and venues
How do you handle venue loading docks and freight elevators?
We plan deliveries around the venue's receiving rules, including dock hours, freight elevator access, and any required event or group name on the shipment. Send those details with your quote request so the equipment arrives when the room is ready and is not held at the dock.
What if our hotel or venue has an in-house AV provider?
Check your venue contract first, because some hotels and conference centers set rules or fees for outside AV equipment. Share the venue's AV policy with us early and we will plan the rental to fit within it.
Can you work in union venues and convention centers?
Yes, we plan around venue labor rules. Some convention centers and hotels require their own union crews for certain tasks such as rigging or load-in, so tell us the venue's requirements up front and the plan will be confirmed in your quote.
Our venue requires a certificate of insurance. Can you send one?
Yes. We can provide a certificate of insurance for your venue. Send the venue's exact requirements, such as the certificate holder name and any wording they request, with your quote request so it can be prepared and confirmed.
Can you coordinate directly with our hotel's event staff?
Yes. Give us the name and contact details for the hotel's event manager or banquet captain, and we will coordinate load-in times, room access, power locations, and pickup with them. You stay informed without having to relay every detail.
Do you supply projectors for houses of worship and school auditoriums?
Yes. Churches, schools, and universities rent projectors and screens for services, assemblies, graduations, and campus events. Tell us the room size, audience, and schedule, and we will recommend a setup that fits the space.
During your rental
What if the projector stops working during my event?
Call us right away. We will help you troubleshoot over the phone, and if a technician is on site they can address the issue directly. Many problems turn out to be a loose cable, the wrong input, or a laptop display setting.
Who is responsible for the equipment while I have it?
Customers are responsible for rental equipment while it is in their care during the rental period. The details are spelled out in the rental agreement you receive with your order.
How should I care for a rental projector?
Keep vents clear, let the projector cool before packing it, and avoid moving it while it is on. Protect it from rain, spills, and direct sun, and keep cables taped down or covered so no one trips over them.
Can I extend my projector rental?
Often, yes, depending on availability. Call us before your scheduled return date so we can confirm the extension and update your rental.
Can I add equipment after my rental starts?
In many cases, yes, depending on availability and timing. Call us with what you need and where it should go, and we will let you know the options.
Ordering and payment
How far in advance should I book a projector?
Book as early as you can, especially for large events, weekends, and busy seasons, since availability varies. A few weeks ahead gives the most options, but shorter notice is often possible.
Can you handle a last-minute rush request?
Rush requests are reviewed case by case based on equipment availability and your location. Call 888-736-8301 so we can check options right away.
Do you accept purchase orders?
In many cases, yes. If your organization issues purchase orders or follows a specific billing process, include that in your quote request so the order and invoice can be set up to match.
Are net payment terms available?
Yes. Net payment terms are available for business customers. Ask about them when you request a quote and we will work with your accounts payable team on billing.
Can you provide a W-9 and a certificate of insurance?
Yes. We can provide a W-9 for vendor setup and a certificate of insurance for your organization or venue. Tell us what your procurement team needs and where to send it.
How do tax-exempt organizations order?
Send a copy of your tax exemption certificate with your quote request or order. It will be reviewed and applied to your rental.
What if I need to cancel or change my order?
Contact us as early as possible, because changes and cancellations are easier with more notice. The specific cancellation and change terms are confirmed in your quote.
